An LPC license in one state, a counseling license in another, and an LMFT or NCC credential can turn a simple course list into several renewal checklists. The problem is not always a lack of completed education. It is knowing which evidence supports each credential.
Use one record for the activity and a separate review for each destination. That approach keeps a shared course from becoming duplicate learning time and keeps an unfinished category from disappearing inside a large total.
Start with the credentials you actually hold
Write down each credential's exact name, jurisdiction or certifier, renewal start and end dates, and current requirements. Include two credentials in the same state as separate entries when they have their own renewal obligations.
NBCC distinguishes national certification from state licensure. An NCC record therefore belongs alongside the state records that apply to your practice. NBCC's explanation.
This organizational step does not determine whether you may practice in another state or under a compact. Those are separate licensing questions.
Example: ethics and telehealth documentation
Imagine a fictional three-hour workshop about ethical telehealth practice. Its title sounds relevant to several requirements, but the title alone does not tell you how any board will credit it.
| Review item | What to examine |
|---|---|
| Original award | The quantity and unit on the completion evidence |
| Provider | The organization delivering the course and its approval statement |
| Subject matter | Syllabus or certificate support for the category being claimed |
| Delivery format | Live attendance, recording or another format, when relevant |
| Renewal timing | The saved period for the exact destination credential |
Keep the three-hour activity once. If a credential permits an ethics category within that total, it is still part of the same learning. Do not add overlapping topic labels into extra activity hours.
Import the records you already maintain
Export a provider transcript as PDF or CSV, or copy rows from your spreadsheet. In Records, choose the source and review every title, provider, date, quantity and unit. Use a custom source name if it helps distinguish an association portal from an employer LMS.
Check duplicate warnings before saving. The same workshop may appear in your employer transcript and your personal log. PDF extraction also needs comparison against the original, including pages that contain only one activity.
Imported courses are initially unallocated. Attach supporting proof, then review the saved licenses or certifications one by one. The app's hour-based matching needs documented learning hours; other awards retain their original units until that information and eligibility are reviewed.
Keep a review note outside the totals
When you are unsure about a provider or category, keep the question visible. “Need provider approval statement” is more useful than silently putting the course into a general-hours column and assuming it is resolved.
The downloadable renewal-review worksheet has space for a source link, proof status and unresolved question. It is a companion worksheet, not a board submission form or an automated rules engine. NBCC's counselor resources can help you locate its certification and approved-provider information.
Build the next renewal record now
Download the counseling sample CSV, replace the fictional activities, and bring in one source first. Use the template guide for column instructions and a proof checklist.
The existing counselor tracking page, LMFT page and multistate counseling guide all lead to the same shared application. Your credentials stay independent within it.
Common questions
Should my LPC and LMFT hours be one total?
Keep one activity record, but review each credential and renewal period independently. A single total can hide different category, provider and date requirements.
Does NCC certification replace a state counseling license?
No. NBCC distinguishes its national certification from state licensure. Track the actual credentials you hold and use the applicable requirements for each.
Does importing a course apply it to all my licenses?
No. Imported courses start without allocations. Eligible destinations are reviewed and selected independently.
